Privacy
Privacy policy.
Short version: we collect what you type into our forms, we use it to reply and to run the service, we keep it no longer than we need to, and we never sell it. The detail is below.
Who we are
Clubs Social is a trading name. We run socials, matchday media and websites for grassroots clubs. For anything in this policy, write to hello@clubssocial.com. We are based in England.
Clubs Social is the data controller for the details you send us through this site. When we work for a club, the club stays in charge of its own accounts and its members' details, and we act on the club's instructions.
What we collect, and why
- Enquiry form (About page). Club name, what you are after, your name and role, email, and a copy of a quote if you arrived from the pricing calculator. We use this to reply to you and to set up the trial or the service you asked about.
- Coaching list (Coaching page). Club, sport, your role, email, and anything you tell us you would want the bench for. We use this to tell you when the product opens.
- Email you send us. Whatever you put in it, used to reply.
- Club material during a service. Fixtures, crest, colours, photos, team sheets, sponsor lists. Used only to do the work the club has asked for.
The lawful basis for replying to an enquiry and running a service is that it is necessary for the contract you are asking about, or for the steps leading to it. Where we rely on our legitimate interests, for example keeping a record of what we agreed, we have weighed those against your rights. We only send marketing email if you tick the box asking for it, and you can stop it any time.
What we do not collect
No advertising pixels and no social media buttons that report back. Analytics run only if you accept them: Microsoft Clarity then records how you move around the site (pages, where you came from, scrolling, taps and clicks; form text is masked). Say no and nothing loads. See the cookie policy.
Where your details go
- Netlify hosts the site and stores form submissions. Netlify is based in the United States and provides standard contractual protections for data moved outside the UK.
- Microsoft runs Clarity, our optional analytics, only for visitors who accept it. Microsoft processes that data for us under its own data protection terms and may hold it outside the UK under standard contractual protections.
- Our email provider holds the hello@clubssocial.com mailbox.
- Nobody else, unless the law requires it. We do not sell or rent details to anyone.
How long we keep it
Enquiries that do not lead to work: twelve months, then deleted. Client records: for the length of the service and six years after, because tax law requires it. Coaching list entries: until the product launches or you ask to come off the list.
Children
This site is for adults who run clubs. We do not knowingly collect details from anyone under 18 through it. Photos of under-18s that a club sends us are the club's responsibility: the club confirms it has the consents its own policy requires before we post anything.
Your rights
You can ask to see what we hold about you, have it corrected, have it deleted, limit how we use it, or object to our using it. You can also ask for a copy in a form you can take elsewhere. Write to hello@clubssocial.com and we will reply within one month.
If you are not happy with how we have handled your details, you can complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
If this policy changes, the date at the top changes with it. Anything that affects what we do with details you have already given us, we will tell you about by email.
